Adding a User Photo and Bio to emails as a Technician Card

How to set up a technician's photo and bio and use the {{technician.card}} merge code in emails.

Written by George Buss

What the technician card is

The {{technician.card}} merge code adds a small card to your emails with the technician's photo, name, and bio, so clients know who is coming before you arrive. To use it, each technician adds a photo and/or a bio to their profile, then you add the merge code to your email templates.

The card shows:

  • Photo on the left, shown as a rounded square

  • Name in bold beside the photo

  • Bio underneath, with its line breaks and links kept

Anything the technician hasn't filled in is left out. If nothing is filled in, the card doesn't appear at all. The card never includes the technician's phone number or email.

For Admins

Every team member can add their own photo and bio. Full admins can also add or change them for anyone on the team:

  • Web app: Go to Settings > Team Members, open the team member, and use the Photo and Bio rows the same way as above.

  • Mobile app: Go to Settings, open Team Members under Your Company, tap the team member, and use the same rows.

Limited admins, technicians, and assistants can only edit their own profile.

Adding your photo

On the web app

  1. Go to Settings > Your Profile.

  2. Click the Photo row at the top of the list. It reads "No photo uploaded" until you add one.

  3. In the Upload Your Photo window, drag and drop your photo into the box, or click Upload From Your Computer.

  4. Drag and resize the square to frame your face. You can also zoom and rotate.

  5. Click Save.

Note: The web app accepts JPEG and PNG files only.

On the mobile app

  1. Go to Settings and tap your profile card at the top.

  2. Tap the Photo row.

  3. Choose Use Camera to take a new photo, or From Photo Library to pick an existing one.

  4. Drag the square to frame your face, then tap Crop.

Note: To replace your photo, follow the same steps again. To remove it, click the trash icon on the Photo row (web), or press and hold the Photo row and tap Remove (mobile).

Writing your bio

  1. Open your profile: Settings > Your Profile on the web app, or tap your profile card at the top of Settings on the mobile app.

  2. Click or tap the Bio row, just below Photo. It shows "None" until you add one.

  3. Type your bio and save.

A few things to keep in mind:

  • Plain text only. Formatting like bold or italics isn't supported, but line breaks are kept, and a blank line starts a new paragraph.

  • Up to 500 characters.

  • Links work. A website or email address in your bio becomes clickable in most email programs.

  • More than one language. If your company sends messages in more than one language, you'll see a box for each. Clients get the bio in their own language. If that language is blank, they get your company's default client language, or whichever language you did fill in.

Adding the merge code to an email

  1. On the web app, open the email template you want to use, for example under Settings > Custom Message Templates.

  2. Click Merge Codes and find Card in the Technician section. The code works in any email editor whose Merge Codes list includes the Technician section.

  3. Copy {{technician.card}} and paste it into the email body where you want the card to appear.

  4. Click Preview to check how it looks, then Save.

Note:

  • Which technician appears: For appointment messages, it's the technician scheduled for the appointment. Otherwise, it's the client's preferred technician. If there's no technician, the card is left out.

  • The name follows your Branding setting: The name on the card uses the format chosen under Technician name display in Branding. If names are set to Hidden, the card shows only the photo and bio.

  • Exceptions to use: Plain-text emails show the name with the bio on the next line, without the photo. Text messages don't offer the card. If it's typed into a text message anyway, only the technician's name is sent.
