Export Your Gazelle Data

Download your clients, pianos, appointments, invoices, and other data as a zip file.

Written by George Buss

You can download any or all of your Gazelle data at any time, whether you want a backup, a spreadsheet to work with, or your records to take with you. Gazelle puts everything you pick into one zip file.

Only admins and assistants can export. Limited admins and technicians don't see Export in Settings.

Export your data

  1. Go to Settings > Export.

  2. Check each data set you want. On the mobile app, turn on its switch. To export everything, select all of them.

  3. Optional: To export only part of your data, add filters to a section, such as invoices from last year or only active clients. A section's filters apply to every data set checked in it, so filtering Clients also narrows Contacts, Contact Emails, and the rest of that section.

  4. Click Export. On the mobile app, tap Export in the top-right corner.

The Exporting Your Data window opens and shows each file as it's made.

  5. Optional: Check Email me a download link when it's complete.

  6. When the export finishes, click Download. On the mobile app, tap the finished export in the progress window or in Recent Exports, then tap Download.

Large accounts can take several minutes. You can minimize the window (or close it on the mobile app) and keep working. The export keeps running, and the finished file waits in Recent Exports on the Export page.

What's included

The zip has one spreadsheet file (CSV) for each data set you picked, plus a file named manifest.txt. The manifest lists what's included, how many rows each file has, and any filters you used. Each client, piano, and invoice has its own ID, and the other files use those IDs, so you can match a piano to its client or a line item to its invoice.

The download link stops working after 7 days, and the export drops off Recent Exports. To get the files again, run a new export.

The Attachments data set is a list of every photo, video, audio recording, file, and link on your clients, their pianos, and their appointments, with a link to download each one. It doesn't include the files themselves.

Those download links also expire 7 days after the export, so save the files you want before then, or run the export again. Attachments on personal events and memos aren't included.
